- 7:45 – Send email with online module link for the call
- 7:50 – Open Zoom call; host participant meet & greet
Call Opening
- 7:59:30 – Play opening music
- 7:59:45 – Mute all participants
- 7:59:50 – Reminder: Mike, start local recording
- 8:00:00 – Confirm all are muted; instruct participants to use chat for comments
- 8:00:05 – Start Zoom recording
- 8:00:05 – Spotlight speaker and begin speaker’s recording
- 8:00:10 – Speaker delivers welcome
- 8:00:15 – Fade music to background
Main Session
- 8:02 – Speaker shares screen
- 8:02:15 – Module content begins
Call Closing
- 8:22 – Admin unmutes participants; stop screen share; reveal chat contents
- 8:42 – Admin signals call closing
- 8:42 (approx.) – Speaker delivers closing remarks
- 8:45 – Call officially ends
2. Recording & File Handling (Immediately After Live Call)
- Hold live call (per protocol above)
- Record live call — Zoom (cloud)
- Record live call — Local (Mike)
- Transfer local recording via AirDrop
- Confirm file naming
3. Post-Call Review & Monitoring
- Review Zoom call summary
- Bella monitors:
- Zoom chat (questions/comments captured during call)
- Flags relevant items for weekly reporting
4. Content Transformation Pipeline
- Update HeyGen call script (based on live call)
- Record HeyGen video using ElevenLabs
- Create slides for insertion
- [Clipmate?] Assemble YouTube video
- Insert HeyGen video
- Insert slides
- Approve YouTube video

5. Distribution, Reporting & Access Control
- Bella monitors all three (3) YouTube channels
- Compiles comments/questions
- Sends weekly report in specified format
- Delivered Wednesdays for Thursday calls
